Generating protocol |
In the nVision 13.5 version, the functionality of the protocol template generator was introduced, replacing the existing solution, which allows for the generation of asset transfer protocols. The functionality of generating templates allows you to create many different templates depending on the requirements and needs of a given organization. Protocol templates can be copied, deleted (all protocol templates cannot be deleted - nVision must have at least 1 protocol template) and edited. Every Administrator with access to the Inventory module in nVision has access to both the protocol generator and the list of created templates. To go to the template generator tab, in the main console window, click the Asset settings button (located on the main toolbar), and then select the Protocol templates tab.
Protocol cofiguration
The general settings for all handover protocols are described in the Protocol settings chapter. In the Protocol templates tab, the Administrator can modify many parameters. The protocol template consists of three sections - Basic Info, People Names, Protocol Columns. Basic info •Protocol title * (it is also the name of the template. The title of the protocol template must be unique, i.e. nVision cannot create two protocol templates with the same name. The protocol is displayed as centered, bold text), •Protocol number * (Two available options: assigned manually / automatically from sequence. Manual broadcasting means that the Administrator will have to fill in the protocol number manually each time. Using the auto-numbering option requires selecting the autonumbering sequence), •Protocol description, (displayed in front of the table with the protocol columns) •Final remarks, (displayed after the table with protocol columns) People names •Number of people on the protocol * (from 1 to 6) •Names of individual people * (They will be displayed at the bottom of the generated protocol. In the window for adding a protocol template, only the number of people and their names are selected, when generating a given protocol from the template, it is also necessary to indicate a specific user - his name will be displayed under the name of the person in the protocol .)

Global fields: •Value •Warranty to •Model •Bar code type •Inventory number •Last mobile scan •Last mobile save •Name •Serial number •Location •Person responsible •Status The fields added in the window for adding a new protocol template are displayed in the form of a table (column name / field type). You can delete the added fields (Delete button) and change their position on the list (Move up / Move down buttons). There is also an Add Asset Type option that adds a column to the log template called Asset Type. After completing the configuration of the protocol template, create it by clicking the Ok button. The created protocol template will be displayed in the list of all templates. By default, nVision includes 6 protocol templates: •Asset hand-over protocol •New asset receipt protocol •Asset disposal protocol •Asset release protocol • Asset lease protocol •Asset return protocol
Generating a report
The protocol generation window will be opened after clicking the Generate protocol button visible on the main toolbar: This window can also be opened when the user responsible for the asset is changed. There are several fields in the protocol template generation window (different from the protocol template adding window) that must be filled in by the Administrator. The most important of them is the Protocol template - click on this field to display a list of all nVision protocol templates. The Administrator should choose one of them. In the protocol generation window, you can create a new template (by clicking on ) and edit the existing one (by clicking on ). In addition, it is necessary to fill in the Date field, which displays today's date by default, but the Administrator can change it freely. In the further part of the form there are fields, the names of which will differ depending on the selected template, they should be completed by selecting users who take part, for example, in the transfer of the resource. The last required element of the form is adding a resource / resources (optionally commented). After configuring all the fields, click the Generate button. The log is generated and exported in .PDF format. All generated reports are displayed in the Protocols tab in Asset Settings.
